based on a question I received here on You Tube from one of
my viewers. So I read the question.
Could you please bring telephone conversation for us?
okay obviously talking on the phone makes us much more nervous
than talking face to face because we cannot see the other person
and how he reacts to what we say
we cannot read the lips so we cannot see any body language
also, we may not be able to hear
clearly through the telephone.
First of all, when you know you are going to talk on
be prepared. Make a list and write down your questions
things that you know you are going to ask the other person. So,
make a list of the questions, have them in front of you
during the call and be prepared. Now,
if you didn't get something, if you didn't hear something clearly
during the call then definitely do not hesitate to ask
the other person to repeat himself or herself
for example, you can ask something like that: "Could you please
repeat the last thing you said because
I wasn't able to hear it clearly?"
OR "I' m afraid I didn't hear what you just said
could you repeat it please?" OR "I'm sorry,
could you please repeat what you just said?" and
in case of a question you can say "could you please repeat
the question?" As you can see, all these are examples, and they are more or less the
so, you can choose whichever you think fits
best for you, whichever you prefer according
to the situation. Now, if the person
talks too fast you can always ask them
to speak--in a polite manner--to speak
a little bit more slowly. For example, you can say something like that:
"I'm sorry, my English is not very good
could you please talk a little bit more slowly?"
That's it! Just tell the truth, everyone can understand that
and they may even start talking even more slowly than
you actually need, so it's a win-win situation.
Now, in any telephone conversation
you should start by introducing yourself. So let's just say that your name is
John Smith, for example, a very original
English name by the way, let's pretend that someone
answers your call; you can say something like that
"Hello! This is John Smith. I am
the English course you offer during the summer", for example. or, you can also
say, "Hello! My name is John Smith. I'm calling
because I would like some more information about the job
you offer", for example. Or, "Hello! My name is John Smith
and I'm calling to make a reservation for tonight
for next week whatever. Another
thing you can say is "Good morning! My name is John Smith
and I am calling in order to book
a double room for the 15th
of August, please." if it is a telephone to a hotel
for example. As you can see these are all examples but you can use
these standard phrases and change them
depending on your own situation. Now, if you are calling
because you want to talk to a specific person you know
and someone else picks up the phone, then you can say something like that
"Hello! This is John Smith. I would like to speak to
Helen Madison, please. Just an example. Or, another way:
"May I speak to Helen Madison, please?" If Helen is not available at the moment
then, they may ask you to leave a message, if they don't
you may ask them yourself by using this phrase
"May I leave a message, please?"
your message can be something really short, just your name and your telephone
number in order for Helen to be able to get back to you
Now, if Helen is actually there and answers your
call it would be polite to ask her how she is
even if this is a formal call. So, you can say something
like that: "Hello Mrs. Madison, this is John Smith. How are you?"
and then you can move on to actually say the reason
you are calling: "I'm calling in order to ask you
the book you are going to publish." Just an example.
Now, let's just say, that you do not have a name but you do have a 3 digit
number, for example, 768
So, keep in mind that lots of big companies work that way
If you have the extension number, you can say something like
"Hello! This is John Smith. Could you please
Or, "Could I have the extension number
phrase it like that: "Could you please connect me
with the extension number -768?"
In case you want to confirm something
during the call to make sure that you have understood
correctly then you can use these phrases
"Please let me confirm that the room
is going to be available at 12 o'clock in the morning, right?"
Just an example or you can phrase it like this: "So, let me
see if I have understood this correctly
the class starts at eleven o'clock
is that right?" and you can change them
of course according to your own specific situation. Now,
always always always remember to be polite
use "please" and "thank you". English people
use these phrases all the time. So, if you want to
close the call you can say something like that: "thank you very much for your time,
goodbye!" or if you're going to actually see the person
you can say something like that: "Well, thank you very much for your help
see you on Monday! Goodbye!" okay, that's it! I hope this
